RZBneo offers two ways to add new skills relevant to the supplementary certificate to an employee. Custom deadlines, the suitability check, and the general professional competence check can only be added via Option 1.<h3 class="LexTKB__h3" dir="ltr">Option 1: Train driver base data</h3><h4 class="LexTKB__h4" dir="ltr">Creating skills</h4>Open the train driver table, search for the desired train driver, and open the editing view of that employee's base data by clicking on<img src="https://cdn-assets.productfruits.com/d7d2d6ac-62e1-4c8a-9c45-d62b202376ee" alt="" width="41" height="43.21621621621622">.In the right-hand area of the input form, you can view and adjust existing skills, deactivate or activate them, and add new skills. To do this, click on <img src="https://cdn-assets.productfruits.com/8060c35d-c277-4531-9d5a-ccbf8b0e2fd7" alt="" width="128" height="34">. All further skills and custom deadlines that do not appear on the supplementary certificate can be found below this button.<h4 class="LexTKB__h4" dir="ltr">Updating skills</h4>By clicking on the pencil icon in the row of the respective skill, you can edit the skill's data retrospectively.<h3 class="LexTKB__h3" dir="ltr"><img src="https://cdn-assets.productfruits.com/8f33105b-7221-49ad-a5ee-9bf71cc8b7ba" alt="" data-position="full" data-width="66.84210526315789%" data-height="auto" class="lexical-inline-image position-full" style="z-index: 20;">Option 2: Skills overview</h3><h4 class="LexTKB__h4" dir="ltr">Creating a single skill</h4>Open the Skills overview menu item. Here you have the option of creating individual new skills relevant to the supplementary certificate. To do this, click on the Add entry button below the displayed table.<img src="https://cdn-assets.productfruits.com/261d0065-efb8-424e-8057-34ba88666f5e" alt="" data-position="full" data-width="100%" data-height="auto" class="lexical-inline-image position-full" style="z-index: 20;">In the input form that opens, select the relevant employee and enter the date values for the acquisition and the last audit. The date of the next audit is automatically set to three years after the last audit date. You can overwrite this at any time if a different interval is desired. Finally, select the skill designation from the corresponding dropdown list.<h3 class="LexTKB__h3" dir="ltr">Updating a single skill</h3>Using the pencil icon <img src="https://cdn-assets.productfruits.com/71650bd2-0afe-420f-8e36-70d7909aa12b" alt="" width="33" height="34.78378378378378"> on the right in the action menu, you can adjust the data of a skill.<h4 class="LexTKB__h4" dir="ltr">Creating / updating multiple skills</h4><div data-lexical-raw-html="true"><div style="display: flex; align-items: flex-start; padding-left: 10px;">

The function for creating multiple skills simultaneously can only be used if the acquisition date (or the date of the last audit) is identical for all skills. 
</div></div>To create or update multiple skills for one or more employees, click below the table on<img src="https://cdn-assets.productfruits.com/0d824c72-7745-429c-8500-0cea911a457c" alt="" data-position="full" data-width="28.195488721804512%" data-height="auto" class="lexical-inline-image position-full" style="z-index: 20;">In the input form that opens, select the employees for whom the skills are to be created / updated. Then select one or more skill designations from the Language, Infrastructure, or Series section.<img src="https://cdn-assets.productfruits.com/aa0f78ef-acd2-4da5-9fbc-44267d2703f3" alt="" data-position="full" data-width="87.44360902255639%" data-height="auto" class="lexical-inline-image position-full" style="z-index: 20;">In the Last Audit field, enter the acquisition date in the case of newly acquired skills, and adjust the date of the next audit if necessary. If the skills are to be created as deactivated skills, uncheck the is active checkbox. If you want to add new skills, set the operating mode to Create new skills for selected drivers. If you want to update existing skills, select the operating mode Update existing skill for selected drivers.

You create and replace supplementary certificates via the Supplementary Certifications menu item. To do this, follow the steps below:&nbsp;<h3>Creating a draft</h3>Every process for creating or replacing a supplementary certificate begins with creating a draft of a new certificate. You generate this by clicking on &nbsp;<img class="image_resized" style="width:17.68%;" src="https://cdn-assets.productfruits.com/2049a7fd-6c5b-42ce-8436-f0981d9f6a20"> under the Supplementary certificate menu item below the displayed table. In the input form, you can now enter all the necessary information for the supplementary certificate, such as the issue date, the expiry date, and optionally a reference number. Assign the certificate to the desired employee and check whether the certificate is being issued via the correct issuing organisational unit. If necessary, select the correct organisational unit from the list. Click on Create to create the draft.&nbsp;<figure class="image image_resized" style="width:90.67%;"><img src="https://cdn-assets.productfruits.com/475d9428-b32b-4404-9316-1eada0874853"></figure>You can then download the draft by clicking on <img class="image_resized" style="width:2.27%;" src="https://cdn-assets.productfruits.com/ca7e4289-0455-4412-9bdc-3450600011af"> and check that all information is correct before issuing the supplementary certificate. This generates a document which is clearly marked as an invalid document due to the red imprint Certificate is not valid!. Before you can download a valid document, you must issue the certificate.&nbsp;<h3>Issuing a supplementary certificate</h3>Once you have checked the draft of the certificate, you can now officially issue it. This turns the draft into a valid entry in the register. To issue the draft, click on <img class="image_resized" style="width:3.63%;" src="https://cdn-assets.productfruits.com/15a0f5ce-fb80-4097-bc27-e30967936180"> in the row of the corresponding entry in the table.You now have one more opportunity to correct information regarding the supplementary certificate. If all information is correct, issue the certificate by clicking on &nbsp;<img class="image_resized" style="width:23.92%;" src="https://cdn-assets.productfruits.com/d8d4a016-a898-4e83-9c35-27b51ee63775"> . You can then download the valid document.<h3>&nbsp;</h3>

<h3>Suspend a certificate</h3>If a certificate loses its validity, it can be suspended in the register. The suspension date as well as the reason(s) for the suspension must be selected. Click on <img src="https://cdn-assets.productfruits.com/bc83d6c9-952c-4b9c-943b-b35f85775625"> in the corresponding register entry. The following window opens:<figure class="image"><img src="https://cdn-assets.productfruits.com/0b0d0779-709d-4ebe-94f9-3ecb86e8e17f"></figure>If special reasons lead to the suspension of the certificate, this form can already be used to enter information about the necessary measures that need to be carried out in order to be able to issue a new supplementary certificate.By checking the Special review required field, you have the option of highlighting the suspended certificate in the register, making it easier to find again later through filtering.&nbsp;<h3>Suspending and reinstating a supplementary certificate</h3>If you only want to temporarily suspend a certificate, click on <img src="https://cdn-assets.productfruits.com/23bb5d60-90d0-4a5f-b68e-addfeb7880cb">.Enter the suspension date and the reason for suspension in the input form that opens.&nbsp;If a suspended supplementary certificate is to be reinstated (reactivated), click on &nbsp;<img src="https://cdn-assets.productfruits.com/98c7deb2-8fd2-481d-a0a8-bebcec359ead"><figure class="image"><img></figure>This removes the suspension reason as well as the suspension date from the corresponding register entry.<div class="raw-html-embed">

 Suspending and reinstating a certificate does not create a new entry, and the register number remains the same. The process of suspending and reinstating a certificate is logged in the journal (like all actions carried out in the register).

</div><h3>Registering and recording a certificate as stolen / lost / destroyed</h3>To record a report for a selected active certificate, click on <img src="https://cdn-assets.productfruits.com/78758128-5370-4aa6-9d85-fdbf7dbd95c6">.This allows the status of the active certificate to be changed to lost, stolen, or destroyed, and a draft of a replacement certificate to be automatically created by clicking on the corresponding Save and create replacement button.<div class="raw-html-embed">

Carefully check these forms for the entered data and formatting before first use.&nbsp;</li><li value="6" class="LexTKB__listItem">Creating train drivers Now you can start creating the first train drivers by entering basic data and qualifications.&nbsp;</li><li value="7" class="LexTKB__listItem">Storing documents RZBneo® offers you the possibility to store documents (e.g., certificates / certificates for qualifications) for all train drivers in the system. If desired, add the relevant documents.&nbsp;</li><li value="8" class="LexTKB__listItem">Creating a draft of an certificate Now start creating a draft of an additional certificate and check the data and its representation on the form using the buttons <img src="https://cdn-assets.productfruits.com/a1aad380-133c-44dd-8cb0-32259649801c" alt="" width="65" height="31.40449438202247"> .&nbsp;</li><li value="9" class="LexTKB__listItem">Issuing the certificate Issue the first additional certificate by clicking <img src="https://cdn-assets.productfruits.com/b9104789-e3e5-402c-907c-b054b1929b78" alt="" width="29" height="32.91891891891892">. The corresponding employee will then be displayed in the dashboard, and deadline monitoring will start automatically.&nbsp; </li></ol>

You manage train driver data via the menu item Train driver. To create a new employee, open this menu item and click Add entry below the table.&nbsp;<figure class="image"><img src="https://cdn-assets.productfruits.com/a3b1d4ff-a1e4-42b8-b17c-d64f13f465ca"></figure>The empty input form for the train driver base data then opens. Here you enter all mandatory information as well as, if desired, further data on the train driver. In this view you can also create the skills of the train driver.&nbsp;<figure class="image image-style-side"><img src="https://cdn-assets.productfruits.com/221ae07e-5ba9-4fb2-8e26-157d58359af0"></figure><h3>General information</h3>In the General information section, the following fields are mandatory fields, which you must fill in in any case in order to be able to save your entries afterwards:<ul><li>Last name</li><li>First name</li><li>Date of birth</li><li>Place of birth</li><li>Country of birth</li><li>Nationality</li><li>Place of work</li><li>Start of employment (required for creating the EBA form for reporting the start of employment)</li></ul>Fields that are not required are marked with the note "(optional)". Uploading a photo is also not mandatory.&nbsp;<h4>Assigning an employee to an organisational unit</h4>If multiple organisational units exist in your instance, you can assign the employee you are creating to one of these organisational units. To do this, select the desired entry from the dropdown list in the Organisational unit field.&nbsp;<figure class="image image-style-side"><img src="https://cdn-assets.productfruits.com/d3c05c66-0feb-40fb-a80b-03cbb7d1d6a3"></figure><h3>Information on the train driver's licence</h3>In the middle section of the input window, you enter all information on the employee's train driver's licence. The mandatory fields here are the twelve-digit train driver's licence number, the status of the train driver's licence, and an indication of the classes covered by the licence.&nbsp;In addition, you have the option of monitoring the expiry date of the train driver's licence. To do this, enter the expiry date in the corresponding field. Deadline monitoring is set up automatically.&nbsp;<h3>Additional information and restrictions</h3>In the input field for additional information, you can enter additional information about the train driver, which is to be printed in the corresponding field on the supplementary certificate. A line break is also taken into account in the output format. Three lines are available on the template for the certificate according to TfV.According to TfV, the input field for restrictions allows you to enter restrictions on the performance capability and abilities of the train driver in relation to the content of the supplementary certificate.&nbsp;&nbsp;<figure class="image image-style-side"><img src="https://cdn-assets.productfruits.com/d03790c3-05b1-4026-9439-32239bd8b1d4"></figure><h3>Skills</h3>On the right-hand side of the master data sheet, you will find the input area for the train driver's skills. Here you enter all language, series, and infrastructure skills relevant to the supplementary certificate.&nbsp;If you have already defined standard values via the master tables, these will be displayed here when creating a new train driver. In this case, you must enter Acquired At and the date of the last review for these skills. To do this, simply click on the pencil icon<img class="image_resized" style="width:2.81%;" src="https://cdn-assets.productfruits.com/d074d7ac-7ed4-4da3-b692-fa819c93c4f9">.&nbsp;Further skills can be created by clicking on Add skill. Enter the acquisition date and the date of the last audit. The date of the expected next audit is automatically added, at an interval of three years. You can overwrite this if necessary. Then select the corresponding skill designation from one of the three lists. By clicking on Create, the skill is saved for the train driver.<figure class="image image_resized" style="width:76.05%;"><img src="https://cdn-assets.productfruits.com/b5f5a276-4c43-40d6-9a2f-28c56cf1e9d4"></figure><h4>Activating / deactivating skills</h4>To create a skill as deactivated, remove the checkmark in the Is Active field before saving the skill, or deactivate the skill after adding it in the list view using the slider <img class="image_resized" style="width:4.2%;" src="https://cdn-assets.productfruits.com/5a88201d-3452-4379-ae2c-b24fa77efd0c">.&nbsp;<div class="raw-html-embed">

 Deactivated skills are not output on the certificate and there is no deadline monitoring for this skill, i.e. you will not be informed about the expiry of the deadline in the dashboard or the deadline overview.

</div><h3>Further information (optional)</h3>In the further information section, you can store date values for the last and next medical fitness examination as well as for the last and next audit/ training of the employee's general technical knowledge. If you make entries in these fields, the expiry of the deadline for the next medical fitness examination or the next review of general technical knowledge is monitored in the background. If the deadline is about to expire, this is displayed in the dashboard and the deadline overview.&nbsp;<figure class="image"><img src="https://cdn-assets.productfruits.com/b7b0c4b6-1f92-4e53-a1b4-4f3664688095"></figure>The Custom deadlines item allows you to define company-specific deadline monitoring. Before entries are displayed in this area, you must first define the terms to be displayed in the custom deadline master table in the Administration section.&nbsp;Once you have created further monitoring items in the master table, you can now enter individual deadlines in the select deadline field. As soon as you enter the date values in both fields, deadline monitoring takes place. Expired deadlines or deadlines that are about to expire are then displayed in the usual way in the dashboard and in the deadline overview.&nbsp;<figure class="image image_resized" style="width:57.4%;"><img src="https://cdn-assets.productfruits.com/d16acbb9-f173-4369-aa8c-813dd480c85e"></figure>In the dashboard, you will find the custom deadline items for a train driver under the following icon:<figure class="image"><img src="https://cdn-assets.productfruits.com/884dfc66-54a6-43ad-b3b2-3ae8aa0ad49c"></figure><h3>Saving the train driver</h3>After you have filled in all mandatory fields, you can confirm the entered data with Create. The train driver is now created in the system and supplementary certificates can now be issued or other forms generated.&nbsp;<div class="raw-html-embed">

 If not all mandatory fields are filled in, you will receive an error message when trying to save the data. Then enter the still missing information in order to be able to create the employee.
