# Sending Forms

General Information

In RZBneo, selected forms can be sent to the Eisenbahnbundesamt. Submissions are always sent to a fixed email address:

To be able to send a form, it must first be activated for sending by an administrator.

### Prerequisites

#### Storing the contact person and activating sending

The form for the declaration of the start or end of employment as a train driver requires the details of a contact person within the company. This must be defined for each organisational unit.

Open *Administration* -> *Issuing organisational units* menu item and the editing view![](https://cdn-assets.productfruits.com/3a9e2805-73fa-4a3e-a3a2-4e830c737ce9) of one of your organisational units. Add the necessary details in the *EBA contact information* section.

You can then activate direct sending of forms by checking the checkbox and saving the changes.

#### Activating a form

As an administrator or user with write access to the forms table, you can activate email sending for individual forms via the *Administration* \-> *Forms* menu item. Open the editing view ![](https://cdn-assets.productfruits.com/3a9e2805-73fa-4a3e-a3a2-4e830c737ce9) of the table entry for the desired form. Check the checkbox to activate form sending:

### Sendable forms

Sending is intended for the following forms:

-   Declaration of the start of employment as a train driver
-   Declaration of the end of employment as a train driver
-   Declaration of the regular general professional competence check

  

The form for application for the issuance of a train driver's licence cannot be sent automatically by email to the Eisenbahnbundesamt, as not all data required to complete this form is available in RZBneo. You can have the application pre-filled with available data and then download it and edit it locally.

  

### Sending a form

Go to the *Train drivers* menu item and search for the desired train driver in the list. Click on the three dots in the action area to display further actions. Select the *Select form* action.

In the form that opens, select the desired form and click on Prepare email to EBA.

![](https://cdn-assets.productfruits.com/28610a92-2717-408b-a20f-a21729ea040f)You now have the option of adjusting the date of the form (default setting = current date), adding a signature to the form, and entering an email address to which a copy of the email sent to the EBA will be transmitted. The email address of your user account is stored here automatically.

  

Display a preview of the form to be sent and check it for accuracy, then confirm this by checking the checkbox ![](https://cdn-assets.productfruits.com/e3dc237f-950e-4180-a013-5a9b9e6f8309).

Click *Send* to submit the reviewed document to the EBA by email.

### Email content sent to the EBA

The following standardised text is transmitted when a form is sent to the EBA:
