# Managing employee documents

RZBneo allows you to store documents for your employees in the system. This means you can, for example, keep all proofs of qualifications and other employee files in one place.

There are two ways to add and manage documents:

1. Via the *Documents* table
2. Via the individual employee's base data

### **Table** ***Documents***

#### **Uploading documents**

Open the *Documents* menu item. Click on *Add entry* below the table to upload a new file into the system and assign it to an employee.

1. Select the employee for whom you want to add the document.
2. You have two free-text fields available for systematically naming your file. We recommend defining a naming pattern to simplify the filtering and searching of documents.
3. Enter the date of the document. This can, for example, be the date of the audit or the issue date of the certificate.
4. If desired, assign the file to the medical fitness examination, the general professional competence check, a custom deadline, or one or more of the employee's existing skills.
5. Drag and drop the files into the designated field, or click on it to upload the file via Explorer.
6. Save the file in RZBneo by clicking on *Submit*.

#### **Managing existing documents**

Select the desired entry in the table and click on the pencil icon ![](https://cdn-assets.productfruits.com/1c485fa3-ef5b-48d3-b40f-77f1b3dc2d07) in the action bar of this entry to open the editing form. You can then change the stored data, assign the document to a different train driver, and re-upload or replace the stored file. You can also assign the entry as proof of either the medical fitness examination, the general professional competence check, a custom deadline, or one or more of the train driver's existing skills.

#### **Examples of structured document naming**

You want to record proof of a training course: for this, assign, for example, the file name RFU 2022 and enter the trained skills (e.g. PZB, Ks) in the *Description* field.

You want to record proof of a refresher on skills for a particular series: for this, assign, for example, the file name BR-Refresher and enter V100 in the description field.

### **Document management via the** ***Train driver*** **table**

To manage an employee's documents via the *Train driver* table, go to the pencil icon ![](https://cdn-assets.productfruits.com/1c485fa3-ef5b-48d3-b40f-77f1b3dc2d07) of an entry. There, in the *Further information* section, click on the button ![](https://cdn-assets.productfruits.com/fa74cc69-5369-4020-aea9-4a8fb1c85ff4). There, you can add entries via the *Add document* button, similar to the [*Documents* table](https://support.rzbneo.de/de/article/verwalten-von-mitarbeiterdokumenten#tabelle-dokumente).

Furthermore, it is possible to add documents to a medical fitness examination, to various skills, to a custom deadline, and to a safety training by clicking *Add document* in the respective tile (see image, example: suitability check).
